Duties of Officers
The President shall:
- Preside at all meetings of the Panhellenic Council.
- Preside at all meetings of the Executive Board.
- Serve as an ex-officio member of all Panhellenic Association committees (with the exception of the Nominating Committee and Judicial Committee) with voice but no vote.
- Communicate regularly with the Panhellenic Advisor.
- Be familiar with the NPC Manual of Information and all governing documents of this association.
- Ensure that the NPC annual report is completed no later than the date required.
- Communicate regularly with the NPC area advisor.
- Attend the Annual FSL Leadership Retreat
- Attend RSO Mandatory Training
- Complete SFB Fiscal Training
- Maintain current copies of the following: George Mason University Panhellenic Association bylaws and standing rules; the Panhellenic Association budget; contracts executed on behalf of the Panhellenic Association; correspondence and materials received from the NPC area advisor; all College Panhellenic reports to NPC; and other pertinent materials.
- Perform all other duties as assigned.
The Vice President shall:
- Perform the duties of the president in her absence, inability to serve, or at her call.
- Serve as Chairperson of the Judicial Board.
- Be familiar with the NPC Manual of Information and all governing documents of this association.
- Serve as scholarship chair.
- Organize meetings of the Junior Panhellenic Council.
- Propose changes to and update the Bylaws and standing rules as voted on by the GMU Panhellenic Council in conjunction with the Bylaws Committee.
- Submit the Academic Achievement Report to NPC each semester
- Perform all other duties as assigned.
- Hold roundtable meetings with risk management chairs and new member educators at least once a semester.
The VP of Records and Finance shall:
Records
- Maintain an up-to-date record of the members of Panhellenic Council and record attendance at all Panhellenic meetings.
- Record minutes of all meetings of the George Mason University Panhellenic Council and the Executive Board.
- Maintain a complete and up-to-date file that includes the minutes of all meetings from the date of organization and current correspondence.
- Maintain current statistics concerning the number of initiated members and new members of each Panhellenic Council member sorority.
- Maintain and distribute updated contact sheet to all Panhellenic Executive Board members and CPH chapter presidents.
- Send meeting minutes to the NPC area advisor, executive board, delegates, and chapter presidents
- Be familiar with the NPC Manual of Information and all governing documents of this association.
Finance
- Maintain the finances of the George Mason Panhellenic Council.
- Prepare the annual budget and, after its approval by the Panhellenic Council, provide a copy to each George Mason Panhellenic Association Member sorority.
- Receive all payments due to the Panhellenic Council, issue bills, collect all dues and fines, and give receipts.
- Submit prompt payment of all bills of the George Mason Panhellenic Council.
- Maintain up-to-date financial records; provide financial report at each regular meeting of the Panhellenic Council and an annual report at the close of her term at office.
- Review, approve, and sign all Panhellenic Council checks and contracts involving the George Mason Panhellenic Council with the President and the sorority advisor
- Prepare and present a budget annually to the George Mason University College Panhellenic Council for a vote.
- Remit invoiced dues to National Panhellenic Conference no later than the date established by NPC.
- Perform all other duties as assigned.
The VP of Public Relations shall:
- Be responsible for the official social media accounts of the Panhellenic Council unless provided for otherwise.
- Coordinate Advertising and marketing for programs.
- Serve as chairman of the Public Relations Committee
- Design and purchase Panhellenic T-Shirts
- Design and purchase Panhellenic brochures, pamphlets.
- Manage all aspects of Panhellenic branding.
- Update website and social media continuously.
- Approve all proofs of Panhellenic Recruitment T-Shirts or other recruitment marketing materials of any kind and Individual Chapter T-shirts specifically pertaining to formal recruitment.
- Be familiar with the NPC Manual of Information and all governing documents of this association.
- Perform all other duties as assigned.
The VP of Membership Recruitment shall:
- Coordinate all Panhellenic Council matters related to membership recruitment procedures.
- Serve as chairman of the Membership Recruitment Committee.
- With the Membership Recruitment Committee, establish a membership recruitment calendar, rules, and submit the documents for discussion and approval by the PHC Council (before the end of the spring semester).
- Plan for Membership Recruitment orientation and registration.
- Send copy of recruitment rules to the NPC Area Advisor for comment/review prior to presentation to the Council for their consideration.
- Submit the recruitment rules to the Council for a vote prior to the end of the spring semester.
- Prepare a full Membership Recruitment report, including recommendations and submit to the Panhellenic Council.
- Be familiar with the NPC Manual of Information and all governing documents of this association.
- Perform all other duties as assigned.
The Assistant VP of Membership Recruitment shall:
- Assist the VP of Membership Recruitment with Panhellenic Recruitment.
- Shadow VP of Membership Recruitment.
- Assist the Head Recruitment Counselor with leading/coordinating Recruitment counselors.
- Work with the Head Recruitment Counselor to establish standards and expectations for Recruitment Counselors and prepare training manual for Recruitment Counselors.
- Attend all Membership Recruitment meetings.
- Be familiar with the NPC Manual of Information and all governing documents of this association.
- Perform all other duties as assigned.
The VP of Programming Shall:
- Support NPC yearly initiatives.
- Be responsible for all contact between the Panhellenic Council and Events Management at George Mason University.
- Plan Annual Panhellenic Banquet
- Serve as Philanthropy Chair
- Coordinate all Social, Philanthropic, and Service Programs/Initiatives
- Be familiar with the NPC Manual of Information and all governing documents of this association.
- Perform all other duties as assigned.
The VP of Wellness Programming Shall:
- Be familiar with the Fraternal Information and Programming Group and George Mason University risk management policies.
- Hold educational workshops/programs of safety issues at George Mason at least once a semester.
- Be familiar and educate all member groups with wellness services available to students on the GMU campus
- Be familiar with the NPC Manual of Information and all governing documents of this association.
- Perform all other duties as assigned.
The VP Diversity, Equity & Inclusion (DEI) shall:
- Be familiar with what it means to be equitable and inclusive
- Provide the Panhellenic community with educational opportunities and resources to promote diversity, equity and inclusion within chapters
- Works with other members of the Panhellenic Executive Board to ensure diversity, equity, and inclusion in all areas of Panhellenic life
- Serve as a resource to have difficult conversations in order to continue to foster diversity, equity, and inclusion
- Oversee the DEI Committee
- Work to create and develop partnerships with outside organizations that promote inclusivity
- Facilitates social justice programming
- Works on council wide trainings with the Coalition Building and Diversity Education office (CBDE)
- Work with the Center for Culture, Equity, and Empowerment (CCEE) to host LGBTQ+ Ally Training
- Assist the Vice President of Membership Recruitment in creating an accessible and equitable Panhellenic recruitment plan for all students in the Mason community.
- Be familiar with the NPC Manual of Information and all governing documents of the association
- Attend the Annual FSL Leadership Retreat
- Perform all other duties as assigned
